WEBSITE PRIVACY POLICY
Including Email, Text Message and Electronic Communications
Last Updated: 9/8/2026
Omega Planners (“Omega,” “we,” “us,” or “our”) respects the privacy of our clients, prospective clients, website visitors, and other individuals who interact with us. This Website Privacy Policy explains how we collect, use, disclose, store, and protect information obtained through our website, electronic forms, telephone calls, email, text messages, client service activities, and other communications.
Because Omega’s estate organization and administrative services may involve personal, financial, insurance, beneficiary, trust, family, and estate-related information, we treat client information as confidential and expect persons who assist us—including authorized representatives, contractors, notaries, virtual assistants, and service providers—to follow applicable privacy and information-security requirements.
This Policy is intended as a public-facing privacy notice for Omega’s website and electronic communications. Additional client agreements, authorizations, disclosures, or consent forms may apply to particular services.
- INFORMATION WE MAY COLLECT
Depending on how you interact with Omega and the services you request, we may collect information that you provide directly, information supplied by an authorized person, and limited technical information generated when you use our website or electronic services.
- Contact and identification information, such as name, mailing address, telephone number, mobile number, email address, date of birth, and signature information.
- Family and estate organization information, including spouse or partner information, beneficiaries, heirs, trustees, executors, agents, attorneys-in-fact, and other designated persons.
- Estate-related information, including information contained in wills, trusts, powers of attorney, healthcare directives, personal property assignments, estate inventories, property records, and organizational binders.
- Insurance information, including policy or contract information, carriers, owners, insureds, beneficiaries, values, premiums, and related administrative information.
- Financial and asset information, including information concerning bank accounts, retirement accounts, investments, annuities, real estate, business interests, debts, income, pensions, and account ownership or beneficiary designations.
- Communications and service records, including emails, text messages, appointment information, telephone notes, client instructions, letters, forms, document requests, advisor communications, notary coordination, and administrative follow-up.
- Website and device information, such as IP address, browser type, device information, pages viewed, referring pages, dates and times of access, cookies, analytics data, and security-related information.
- INFORMATION WE GENERALLY DO NOT NEED
Omega generally does not need your online banking passwords, brokerage passwords, credit or debit card PINs, email passwords, or similar authentication credentials. Do not send such credentials through ordinary email, text message, or website forms unless Omega has specifically provided an approved secure process for a legitimate service purpose.
- HOW WE COLLECT INFORMATION
We may collect information directly from you through our website, forms, telephone calls, email, text messages, meetings, documents, and service interactions. With appropriate authorization, we may also receive information from a spouse or joint client, insurance agent, financial advisor, attorney, accountant, notary, trustee, executor, family member, insurance company, financial institution, government agency, or other person or organization involved in your Omega service.
- HOW WE USE INFORMATION
Omega may use information to provide and administer services, organize client records, prepare binders and administrative summaries, coordinate appointments and notarial services, prepare correspondence requested by clients, assist with administrative trust-funding or beneficiary-change requests, communicate with authorized representatives and institutions, respond to inquiries, maintain business and compliance records, protect against fraud or security incidents, comply with legal obligations, and improve our services and operations.
- SHARING INFORMATION WITH AUTHORIZED PERSONS
Omega may disclose information to a person or organization when you authorize us to do so. This may include your spouse or joint client, designated Omega Representative, insurance agent, financial advisor, attorney, accountant, notary, trustee, executor, family member, insurance company, financial institution, government agency, or other authorized person.
An authorization may generally be revoked prospectively by providing notice to Omega, subject to information already disclosed and actions already taken in reasonable reliance on the authorization.
- DESIGNATED OMEGA REPRESENTATIVES
A client may designate an insurance agent, financial advisor, or other approved professional as an Omega Representative. With client authorization, Omega may communicate and exchange information with that Representative concerning the client’s Omega service, including appointment information, organizational information, insurance or financial information, beneficiary and ownership information, trust-funding status, document status, and related administrative matters.
Designation as an Omega Representative does not by itself authorize the Representative to withdraw funds, change ownership or beneficiaries, alter investments or insurance coverage, sign legal documents, or otherwise act legally on behalf of the client.
- SERVICE PROVIDERS, CONTRACTORS AND NOTARIES
Omega may use employees, independent contractors, virtual assistants, notaries, technology providers, cloud and software providers, communications vendors, document-processing providers, scheduling systems, professional advisors, and other service providers. Such persons may receive access to information only as reasonably necessary to perform authorized functions. Omega expects persons handling confidential client information to maintain appropriate privacy, confidentiality, and security safeguards.
- TEXT MESSAGE COMMUNICATIONS
If you provide a mobile telephone number and consent to text communications, Omega may use text messages for appointment reminders and confirmations, scheduling changes, requests to contact us, document notifications, administrative updates, service-status updates, requests for missing information, notary coordination, advisor coordination, educational communications, and other communications related to your relationship with Omega.
Standard message and data rates charged by your wireless carrier may apply. Message frequency may vary based on your relationship with Omega and the services you request.
Ordinary SMS and MMS messages may not be encrypted. You should not send Social Security numbers, full financial account numbers, passwords, PINs, complete identification documents, or other highly sensitive information through ordinary text messaging unless Omega specifically directs you to an approved secure method.
Where applicable, you may opt out of optional or marketing text messages by replying STOP or by contacting Omega. We may send a final confirmation of your opt-out where permitted. Opting out of marketing or optional texts does not necessarily prevent service-related, transactional, security, or legally required communications through another lawful method.
Consent to receive marketing text messages is not intended to be a condition of purchasing or receiving Omega services where applicable law prohibits such conditioning.
- EMAIL COMMUNICATIONS
Omega may use email for appointment scheduling, confirmations, service updates, forms, document requests, administrative correspondence, advisor and notary coordination, educational information, newsletters, and marketing communications where permitted.
Ordinary email is not guaranteed to be secure. Do not transmit highly sensitive information through unsecured email unless specifically requested or unless an approved secure method is being used. When appropriate, Omega may use secure portals, encrypted transmission, password-protected documents, secure file-sharing systems, or other reasonable safeguards.
Marketing email communications will include an appropriate method to unsubscribe where required. An unsubscribe request from marketing communications does not necessarily prevent transactional, administrative, security, relationship, or legally required email communications.
- TELEPHONE AND VOICEMAIL
Omega may contact you by telephone for scheduling, reminders, service-related follow-up, document requests, notary coordination, advisor coordination, and other client-service purposes. We may verify identity before discussing confidential information. Because voicemail may be accessible to other persons, Omega may limit the confidential information included in voicemail messages.
- COMMUNICATION PREFERENCES
You may ask Omega to use or avoid particular communication methods, including telephone, text message, email, postal mail, or communication through an authorized representative. We will endeavor to honor reasonable preferences subject to legal, regulatory, operational, security, and recordkeeping requirements. You are responsible for keeping your telephone numbers, email addresses, and other contact information current.
- WEBSITE COOKIES AND ANALYTICS
Our website or third-party services used with the website may use cookies, pixels, logs, analytics technologies, or similar tools to support website functionality, understand site usage, improve performance, maintain security, and prevent fraud. Depending on the technology used, these tools may collect device, browser, IP address, referral, usage, and interaction information.
Where legally required, Omega may provide additional cookie notices or consent choices. Browser settings may also allow you to limit certain cookies, although disabling cookies may affect website functionality.
- INFORMATION SECURITY
Omega seeks to maintain reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of information handled. Measures may include access controls, passwords, multifactor authentication, device and network security, software updates, secure file transfer, encryption where appropriate, backups, confidentiality requirements, staff training, secure storage, secure destruction, service-provider oversight, and incident-response procedures.
No website, electronic transmission, storage system, or security measure can guarantee absolute security. Accordingly, Omega cannot promise that unauthorized access, loss, theft, cyberattack, transmission error, or another security incident will never occur.
- MINIMUM NECESSARY ACCESS
Omega seeks to limit access to confidential information to persons who reasonably need the information for an authorized client-service, administrative, compliance, security, or legal purpose. Access to information should not occur merely because a person has the technical ability to view it.
- PHYSICAL AND ELECTRONIC DOCUMENTS
Omega may receive, prepare, store, transmit, and return physical and electronic documents. Reasonable safeguards may include restricted access, locked storage, controlled electronic permissions, secure transmission, secure disposal, shredding, and procedures for handling originals. Clients should identify original documents that must be returned.
- DATA RETENTION AND DESTRUCTION
Omega may retain information for as long as reasonably necessary to provide services, maintain client records, respond to inquiries, satisfy legal or contractual obligations, meet insurance or professional requirements, resolve disputes, defend claims, document work performed, and protect against fraud or misuse.
When information is no longer required and is appropriate for destruction, Omega may use reasonable methods such as secure shredding, secure document-destruction services, secure deletion, or other methods designed to prevent unauthorized reconstruction or access.
- PRIVACY AND SECURITY INCIDENTS
If Omega becomes aware of a suspected privacy or security incident, we may investigate, contain the incident, preserve relevant records, involve appropriate technology, legal, insurance, or compliance professionals, notify affected persons or authorities when required, and take other reasonable corrective measures.
- NONPUBLIC FINANCIAL, INSURANCE AND HEALTH-RELATED INFORMATION
Omega may receive nonpublic personal financial, insurance, or health-related information in connection with client services. We treat such information as confidential and use it for legitimate authorized purposes. Where a federal or state financial privacy, safeguarding, insurance privacy, health-information, or other privacy requirement legally applies to Omega or a particular activity, Omega intends to comply with the applicable requirement.
Omega is not necessarily a healthcare provider, health plan, healthcare clearinghouse, bank, investment adviser, insurance company, or other regulated entity merely because information originating from such an entity appears in client records.
- WE DO NOT AUTHORIZE UNRELATED USE OF CLIENT INFORMATION
Omega does not authorize its employees, contractors, advisors, notaries, or service providers to sell, trade, disclose, or use confidential Omega client information for personal benefit or an unauthorized purpose. Confidential client information may not be used to create prospecting, lead, or marketing lists without appropriate authorization and compliance with applicable law.
- LEGALLY REQUIRED DISCLOSURES
Omega may disclose information when reasonably necessary to comply with law, legal process, court orders, subpoenas, regulatory requirements, law-enforcement requests, fraud investigations, safety obligations, litigation, enforcement of agreements, or protection of Omega’s or another person’s legal rights. Where appropriate and legally permitted, Omega may seek to limit disclosure to information reasonably responsive to the request.
- THIRD-PARTY LINKS AND SERVICES
Our website or electronic communications may contain links to websites or services operated by third parties. Omega does not control the privacy practices, security, or content of those third parties. You should review the privacy practices of a third-party service before providing personal information.
- CHILDREN’S INFORMATION
Omega’s services are generally intended for adults. Information about children or grandchildren may nevertheless be included in estate, beneficiary, family, or organizational information provided by an adult client. Omega seeks to use such information only for legitimate service purposes and to limit collection to information reasonably necessary.
- ACCESS, CORRECTION AND PRIVACY REQUESTS
You may contact Omega to request correction of inaccurate or outdated contact or client information, to change an authorized representative, to update communication preferences, or to raise a privacy concern. Omega may require reasonable identity verification before acting on a request. Certain historical, legal, compliance, or business records may need to be retained even after information is updated.
- CHANGES TO THIS PRIVACY POLICY
Omega may update this Privacy Policy to reflect changes in services, technology, business practices, legal requirements, or privacy and security procedures. The “Last Updated” date at the top of this Policy should identify the most recent revision. Where required by law, Omega will provide additional notice of material changes.
